Card & account payment

VemaCard — one card, from payment to invoice.

VemaCard combines a physical payment card with an account, portals and automatic invoicing. Cardholders pay on a Payter terminal as they would with a bank card, and the operator controls every card, limit and invoice.

Who VemaCard is for

Operators with regular customers — businesses and private customers alike. VemaCard is used in laundromats and car washes today, and also serves staff and catering cards.

  • Business customers

Companies whose staff or technicians use the site, with controlled use and automatic invoices.

  • Private customers

Regular customers with a prepaid balance, a fixed budget or a wash pass.

  • Promotions

Prepaid or punch cards for a promotion.

  • Laundromats and car washes

Where VemaCard is used today. Staff and catering cards are another use.

02

How the card works

The cardholder presents the card at the payment terminal, just as with a bank card. What the card allows depends on its type.

  • Prepaid

The card spends a balance paid in advance.

  • Limit card

A budget per period, such as a monthly amount.

  • Punch card

A fixed number of uses, whatever the amount of each.

  • Unlimited

Unlimited use, on the terminals the operator selects.

  • Paid in advance or invoiced

Use can be prepaid, or invoiced afterwards.

03

On the Payter terminal

VemaCard runs on Payter payment terminals. Payter supplies the terminal; VeMatics developed the software that integrates VemaCard with it.

  • Payter terminals only

VemaCard currently works only with Payter terminals.

  • VeMatics integration software

Our own software connects VemaCard to the Payter terminal.

  • Read by the terminal itself

The Payter terminal reads the card. No separate reader is needed.

  • Validated at every level

Each transaction is checked at card, terminal and merchant level.

  • Cards per terminal

The operator can restrict which cards work on which terminals.

  • On an existing Payter installation

Where Payter terminals are already in place, VemaCard is activated without replacing them.

04

Where VemaCard is used

Wherever a Payter terminal takes the payment: on VeMatics stations fitted with one, and on directly integrated Payter terminals where applicable.

  • CP110

On the Payter / Apollo terminal that is the CP110’s interface.

  • CP200, CP460, CP510 and CP600

VemaCard can serve as the customer wash card where a supported Payter terminal is fitted.

  • Directly integrated Payter terminals

Where applicable, on Payter terminals built directly into equipment such as wash boxes.

A station with another payment terminal does not support VemaCard.

05

Top-up and the cardholder portal

Cardholders top up online or at the terminal, and follow their card in their own portal. Spending limits stay with the operator.

  • Online top-up

Through the customer portal. The funds go directly to the operator.

  • At the Payter terminal

The card can also be topped up at the terminal.

  • Balance and transactions

Cardholders see their balance and every transaction.

  • Invoices

Cardholders find their invoices in the portal.

  • Card self-service

Card-related self-service, within what the operator allows.

  • Limits set by the operator

Cardholders cannot change their own spending limits.

06

Operator control

The operator portal manages every card, terminal and transaction, in real time.

  • Cards and card types

Issue cards, choose their type, and set balances, limits and validity.

  • Rules per card

Expiry, limits, access and invoicing rules are set per card.

  • Terminals and access

Which terminals each card may use, with reporting per terminal.

  • Transactions and top-ups

Every transaction and top-up, with history, reporting and export.

  • Misuse alerts

Alerts on the most-used cards help detect misuse.

07

Invoicing and accounting

VemaCard turns card transactions into invoices automatically, and connects to accounting through Scrada.

  • Automatic invoices

Per transaction, day, week or month, grouped per customer, card or period, with VAT calculated.

  • PDF, email and Peppol

An A4 PDF with the operator’s logo, sent by email, through Peppol, or both.

  • Split billing

Part of a transaction can be invoiced to the customer and the rest borne by the operator, with a different split per card where needed.

  • Manual and periodic invoices

Extra invoices, credit notes and periodic invoices alongside the automatic ones.

  • Traceable

Invoice history and status, traceable back to the transactions.

  • Accounting through Scrada

VemaCard connects to accounting and cash-book workflows through Scrada, using APIs developed by VeMatics. Scrada itself is a separate, third-party service.
